Databases

A database stores one set of records while letting each team view the same records in the form that best fits the work.

01

Set up fields and records

Create a Grid from New page or embed one in a document. Add rows for records and use the Fields menu to rename, hide, or change a field type.

  1. 1.Add the columns your team needs, such as text, number, select, date, relation, media, or formula.
  2. 2.Click a cell to enter a value.
  3. 3.Resize columns and reorder rows to make the grid easier to use.

02

Make focused views

A single database can have Grid, Board, and Calendar views. Filters and sorts apply to the view, so they change what is shown without deleting records.

  1. 1.Use the view bar to add or switch views.
  2. 2.Open the filter menu and choose a field, operator, and value.
  3. 3.Add ascending or descending sort rules for the current view.

03

Choose the right layout

Grid is for direct data entry. Board groups cards by a Single select field and lets you move cards between columns. Calendar places dated records in month or week view.
